This Privacy Policy explains how Episonic AI, Inc. ("Episonic," "we," "us," or "our") collects, uses, shares, and protects information when you use the Episonic platform, including our AI agent Lauralai and all related services (the "Service").
This Privacy Policy is part of the Episonic Terms of Service and should be read together with the AI Product Terms and Acceptable Use Policy.
By using the Service, you agree to the collection and use of information as described in this Privacy Policy.
1. Information We Collect
1.1 Information You Provide
Account Information. When you create an Episonic account, we collect your name, email address, and billing information (if applicable). If you sign up through a third-party authentication provider (such as Google or Apple), we receive basic profile information from that provider.
Conversation Data. We collect all interactions you have with Lauralai, including your text messages (Input), Lauralai's responses (Output), conversation history, and any feedback or corrections you provide. If voice interaction features are available, we collect voice recordings and their transcriptions.
Content Data. We collect podcast audio files, transcripts, show notes, episode descriptions, episode metadata, and any other content you upload to or create within the Episonic platform. This includes content processed through our transcription, analysis, and generation features.
Communications. We collect information you provide when you contact our support team, respond to surveys, or otherwise communicate with us.
1.2 Information We Collect Automatically
Usage Data. We collect information about how you use the Service, including which features you access, how often you interact with Lauralai, session duration, actions taken within the platform, and interaction patterns.
Device and Technical Data. We collect browser type and version, operating system, device type, IP address, unique device identifiers, and general location information (derived from IP address).
Cookies and Similar Technologies. We use cookies, local storage, and similar technologies to maintain your session, remember your preferences, and understand how the Service is used. See Section 8 for details.
1.3 Information We Receive from Third Parties
Technology Partners. When our Technology Partners process your requests, they may return metadata or processing information that we store in connection with your account.
Analytics Integrations. If you connect third-party analytics services (such as OP3 or other podcast analytics providers) to your Episonic account, we receive data from those services as described in the applicable Feature-Specific Terms.
2. How We Use Your Information
We use your information for the following purposes:
2.1 To Provide the Service
We process your Input through our Technology Partners' systems to generate Output — this is the core function of the Service. We use your conversation history within a session to provide contextually relevant responses. We process your audio and transcript data to deliver transcription, analysis, and content generation features. This use is necessary to provide the Service and occurs regardless of your Privacy Settings.
2.2 To Train and Improve Our AI (Subject to Your Privacy Settings)
By default, we use your Conversation Data, Content Data, Output, and related Usage Data to train, fine-tune, evaluate, and improve the AI models and features that power the Episonic platform.
This is enabled by default for Free, Indie, and Pro accounts. It is disabled by default for Team, Enterprise, and Guest Pass accounts. You can change this at any time in your Privacy Settings.

When this setting is enabled, your data may be aggregated, de-identified, or used in its original form depending on the specific training or evaluation activity.
2.3 Human Review for Quality and Safety (Subject to Your Privacy Settings)
By default, a limited number of trained Episonic team members may review samples of your interactions with Lauralai for safety monitoring, quality assurance, and product improvement.
This is enabled by default for Free, Indie, and Pro accounts. It is disabled by default for Team, Enterprise, and Guest Pass accounts. You can change this at any time in your Privacy Settings.
When this setting is disabled, only automated systems process your data. Regardless of this setting, Episonic reserves the right to review content when required by law or to investigate reported violations of the Acceptable Use Policy.
2.4 To Personalize Your Experience
We use Usage Data and interaction patterns to adapt Lauralai's responses to your workflows, preferences, and the types of content you create. This personalization occurs within your active sessions and does not require the AI training toggle to be enabled.
2.5 To Maintain Safety and Security
We use automated systems to monitor for abuse, enforce the Acceptable Use Policy, detect unauthorized access, and protect the integrity of the Service.
2.6 To Communicate With You
We use your contact information to send service-related communications (account verification, billing notifications, security alerts, product updates) and, where you have opted in, marketing communications. You can unsubscribe from marketing communications at any time.
2.7 To Comply With Legal Obligations
We process your information as necessary to comply with applicable laws, respond to valid legal process, and enforce our Terms.
3. Your Privacy Settings
You control how your data is used for AI improvement through two separate toggles in your Privacy Settings. These controls are described in detail in AI Product Terms, Section 5. A summary:
Toggle 1: "Use my content to improve Episonic AI"
Controls whether your data is included in model training, fine-tuning, and evaluation.
Toggle 2: "Allow human review for quality and safety"
Controls whether Episonic team members may review your interactions.

Changes to your Privacy Settings take effect for future data processing. See Section 6 below for important information about data that has already been used in model training.
4. How We Share Your Information
Episonic does not sell your personal information. We share your information only in the following circumstances:
4.1 Technology Partners
Your Input is shared with our Technology Partners to the extent necessary to provide AI functionality. Our current Technology Partners are listed in AI Product Terms, Section 4.4 and on our subprocessor list. Each Technology Partner processes your data under a data processing agreement with Episonic that includes confidentiality, security, and data handling obligations.
4.2 Service Providers
We share information with third-party service providers who perform services on our behalf. These providers are contractually required to use your information only to provide services to Episonic and to maintain appropriate security measures. Our service providers fall into the following categories:

4.3 Legal Requirements
We may disclose your information if required by law, subpoena, court order, or other valid legal process, or if we reasonably believe disclosure is necessary to protect the rights, property, or safety of Episonic, our users, or the public.
4.4 Business Transfers
If Episonic is involved in a merger, acquisition, reorganization, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such transfer and any choices you may have regarding your information.
4.5 With Your Consent
We may share your information with third parties when you give us explicit consent to do so.
What We Will Not Do
- We will not sell your Input or Output to third parties.
- We will not use your content for advertising targeting or personalization.
- We will not publicly attribute your content in any training dataset, publication, or marketing material.
5. International Data Transfers
Episonic is based in the United States. Your information may be transferred to and processed in the United States and other jurisdictions where our Technology Partners and service providers operate.
If you are located in the European Economic Area (EEA), United Kingdom, or Switzerland, we rely on legally recognized transfer mechanisms such as Standard Contractual Clauses (SCCs).
6. Data Retention
6.1 Account and Conversation Data
We retain your Account Information for as long as your account is active, plus a reasonable period after account deletion to comply with legal and financial record-keeping requirements.
We retain Conversation Data (your interactions with Lauralai) for as long as necessary for the purposes for which it was collected, or until you delete it through the Service.
6.2 Content Data
We retain Content Data (audio files, transcripts, and other uploaded content) for as long as your account is active. When you delete specific content or close your account, we remove it from our active systems promptly.
6.4 Data in Trained Models
Important: If your data was used in AI model training (because your training toggle was enabled at the time), that data becomes part of the model's learned patterns. Trained models cannot be "untrained" — the specific data points used in training cannot be surgically identified and removed from a model after the fact.
If you opt out of training (Toggle 1), Episonic will exclude your data from all future training datasets and caches within 30 calendar days. However, models that were trained before your opt-out will continue to reflect patterns learned from your data.
If you delete your account, the same principle applies: your data is removed from active systems and future training datasets, but previously trained models are not affected.
We are transparent about this because we believe you deserve an honest explanation of how AI training works, even when the answer is technically complicated.
7. Your Rights and Choices
7.1 All Users
Regardless of where you are located, you have the following rights:
- Access and export your data. You can request a copy of the data we hold about you.
- Delete your conversation history. You can delete individual conversations or your entire conversation history through the Service.
- Delete your account. You can request deletion of your account and all associated data by contacting privacy@episonic.ai.
- Manage your Privacy Settings. You can enable or disable the AI training and human review toggles at any time in your Privacy Settings.
- Unsubscribe from marketing. You can opt out of marketing communications at any time.
8. Cookies and Tracking Technologies
Episonic uses cookies and similar technologies for necessary session management, remembering your preferences, and understanding product usage. We do not use advertising or tracking cookies. We do not serve ads within the Episonic platform.
9. Children's Privacy
Episonic is not directed to children under the age of 16. We do not knowingly collect personal information from children under 16.
10. Security
We implement technical and organizational measures to protect your information, including encryption in transit and at rest, access controls, and regular security assessments.
